Once you have informed us of what changes need to be made, we will recalculate the payslip(s) that need to be changed and send you an updated set of reports.

What do we mean by “fully managed”? It covers the following ….
  • 1. Payroll tailored to you

  • From your shift patterns to your commission rates, your business is not quite like anyone else’s. So rather than a ‘one-size-fits-all’ approach, we work with you to really understand your business, so we can match your payroll service to it.

  • 2. System set up and integration

  • If you have been stalling on outsourcing your payroll because you dread the technical side of things, relax. CAP dedicated Integration Team helps businesses of all shapes and sizes (and IT capability) outsource their payroll simply and without stress. And once your HMRC compliant system is set up, we will keep it updated as things change, so you don’t have to.

  • 3. Tested to destruction

  • When your newly outsourced payroll goes live, there cannot be any hiccups. That is why we run your new payroll in parallel with your existing setup until everyone’s satisfied that the new system does all you need and runs like clockwork. Only then do we complete the final switchover.

  • 4. Accuracy every time

  • We will ask you to enter your timesheet information on simple spreadsheets tailored to your business. Then we will import that information directly into our system – reducing errors and minimizing risk – so we can make all the calculations needed to produce a wage slip. We will then validate and audit each payroll run.

  • 5. Paper or ePayslips?

  • We will provide the payslip of your choice, but you will save on printing and postage costs, reduce paper usage, and cut the cost of producing copies when you switch to ePayslips.

  • 6. Payments

  • A fully managed payroll means BACS payment of wages and pensions are arranged for you and paid direct into staff bank accounts.

  • 7. Secure control

  • We will keep a secure record of every payroll report for 7 years, so you can access them whenever you need them.

  • 8. Personnel documents

  • Need P45s, P60s, P11s, or any other documents required by HMRC? We will produce them for you.

  • 9. Reporting

  • As often as you need, in as much depth as you wish. We may be providing the fully managed payroll, but you will have the reports that keep you in control of your business.

  • 10. End of Year made simple

  • Say goodbye to the end of year panic. We will compile all your end of the year information for you and submit it to HMRC on your behalf.

  • 11. Personalized payroll service from dedicated payroll people

  • With CAP, the same people process your payroll month in, month out, building an in-depth understanding of your business, and creating the managed payroll system that is designed around you.

What you require of your payroll provider may vary, but whatever you do, outsourcing your managed payroll services can make a big difference.

You do not have to have a staff of thousands to benefit from outsourcing your payroll. For businesses large and small, for charities and not-for-profits, CAP can make a big difference to the time, cost, and hassle of running your payroll.

  • Managed payroll for large organisations

  • If you are managing payroll in house, you will know how much time, money, and resource is lost to processing it.

Switch to a managed payroll services provider and you make an immediate headline saving in terms of the staff you are currently employing to manage your payroll. But there are other benefits too: no payroll software to license. No training costs. Reduced risk of error. No need to stay up to date on the million and one tax, pension, and HR changes that affect payroll every year.

In a host of ways, the larger the company, the greater the benefit of switching to a managed payroll service, and the faster you will see the benefits.

  • Managed payroll for SMEs

  • Practically every SME will start by processing its own payroll. But as staff numbers increase, few can afford the time and resources required. And even fewer will have the expertise to cover every aspect of an increasingly complex payroll.

Switching to an outsourced, managed payroll does more than save time and money and free up valuable resources. It reduces risk too, ensuring that the people managing your payroll are the people best qualified to do so.

  • Managed payroll for charities and not for profit organisations

  • Keeping the payroll as lean as possible is vital to the success of every charity. A few can afford to run a professional in-house payroll, and it is hardly the sort of thing to be left to inexperienced volunteers.

Choosing CAP keeps costs low while ensuring that the expertise, compliance, and security every charity need are always there.

  • Managed payroll for the recruitment industry

  • Recruitment companies often have a huge number and variety of payroll requirements, but only a relatively small back office to manage them all. Outsourcing your managed payroll function to CAP ensures you can get on with the business of finding and placing talent, while we manage the pay, commissions, pensions, overtime, and more.

Reducing the pain of processing a weekly or monthly payroll is just the beginning. Here is what else a managed payroll service could do for you.
  • 1. Outsourcing payroll saves businesses money

  • No need to employ in-house staff to process payroll. No need to pay for dedicated software or licence updates. No need to pay for training to manage it all. And no costs associated with errors or failures to comply with latest legislation.

  • 2. Outsourcing to a managed payroll services saves businesses time

  • When clients tell us what life was like before they switched to CAP, they tend to paint a very consistent picture. If they were managing their payroll in house, they were losing hours, and in larger organisations, days processing payroll every week/month.

At a stroke, outsourcing your payroll dramatically reduces the time lost to non-core activities. So, the people who used to process your payroll can switch to doing something else.

  • 3. The compliance expertise of managed payroll services cuts down the risk to a business

  • The bigger and more complex your payroll gets, the tougher it is to stay up to date with changes to tax, NI, pensions, and employment law.

Outsourcing to CAP means we are responsible for keeping your payroll compliant with the latest legislative changes – so you have less to worry about, and you reduce the risk of non-compliance.

  • 4. When outsourcing payroll to CAP, you will maintain control over your business payroll

  • We may be managing your payroll, but that does not mean you lose visibility or control over it. We will keep your nominated people up to date on payroll activity with simple, clear reporting that enables your business to keep making informed decisions.

Every client is allocated a dedicated Payroll Profession who works on your payroll every time. They get to know all about your company and payroll requirements. We are always there at the end of a phone to answer any queries you may have.

How does the process of switching your payroll services supplier work, and how can you be sure everything will proceed without a hitch? With CAP, change is easy.

It can feel like a big step, switching to an outsourced payroll services supplier for the first time (or switching from an existing third-party provider). At CAP, we aim to make that switch as simple and painless as possible.

That is our aim when you switch to us. You will notice a difference in time saved, errors cut, hassle reduced – but everything that usually runs like clockwork still should.

That is why our first step is always to understand what your organisation really needs from its payroll service. We will explore everything you’re currently doing each month, from basic wages and overtime to pension payments and expenses, and work out what processes you want to retain, and what we can simplify and streamline.

We will take extra care to make sure that every service your current provider deliver is accounted for, and that all the things that are making you feel the need to switch are put right.

We do not let anything fall between the cracks when you switch your payroll services to us. That is why we will run our system parallel with your old one for an initial period, to ensure every last is dotted and every decimal point is carried over.

We will agree a formal switchover date with you, then help you manage the process, including communications with your existing provider, to ensure the change is hassle-free.

It really does not matter. There is no benefit to waiting until the end of a tax year, so whenever you decide to change, we’ll make sure it happens quickly and efficiently.
